context
Previously, Patrimonia relied mainly on Excel for customer management, which quickly reached its limits. An initial tool (Abacus) was deployed—primarily for its compatibility with Xplan, the asset management solution. However, this software (closer to an ERP with a CRM module than a true CRM) failed to meet expectations. A lack of user-friendliness and high operational complexity, particularly around email management, led Patrimonia to look for a new solution.
intervention
• Scoping Workshops: Facilitating workshops with all stakeholders to gather business requirements, growth challenges, current pain points, and functional needs.
• CRM Benchmarking: Benchmarking market CRM solutions with extended capabilities (ERP CRM), notably evaluating Odoo, Microsoft solutions, and open-source options.
• Functional Coverage Specification: Drafting a functional coverage matrix categorizing needs into “Must Have”, “Should Have”, and “Nice to Have” priorities.
• Workflow Mapping: Mapping existing workflows with visual representations of key steps and stakeholders.
• Techno-Functional & Financial Evaluation: Conducting a technical, functional, and financial assessment of options using weighted scoring based on priority levels.
• Vendor Shortlisting: Establishing a shortlist of solutions best aligned with business needs and integrated with existing tools (Xplan, M365, etc.).
